Position Title: Executive Assistant

Position Type: Full Time

Permanent Based in Yarralin Community NT

Salary Range: Level 5  Indicative $67,069  

PLUS  9.5% Super, Subsidised Housing  and

About the Role This position is responsible for providing a high level of secretarial and administrative support to the Yarralin Council Service Manager, ensuring a professional and efficient approach to the provision of services to the Council Services Manager at all times.

Key duties  will including but not limited to; Maintaining records, Initiating follow-up actions, attend and minute take Local Authority meetings in the community. Prepare the periodic reports required for funding bodies and regional office and ensuring discretion and confidentiality is adhered to.

About You

The successful candidate will have a proven ability to assist in the smooth day-to-day operations of the Yarralin Service Delivery Centre with good communication skills and positive attitude. You'll have great organisational skills, be flexible with the ability to work independently and under pressure to meet deadlines within required time frames.  Liaising effectively with all levels of staff within the Council, external agencies and organisations to actively promote the Council’s image as an efficient and effective organisation. Experience in working in remote locations with ability to work with community members is highly desired.

About the Opportunity 

Leading the Sport and Recreation Officers  you will be responsible to Contribute to the provision high standard of sport and recreation programs for the community by actively engaging with all local community members. Undertaking the Coordination and promotion of sport & recreational activities in the communities of Kalkarindji and Daguragu, Including (but not limited to); Coordination and development of cultural and sports events in communities, preparing monthly plans and reports. This position calls for a Team Leader to undertake the day to day operations of the program and  manage the equipment and supplies.

About You

The successful candidate will have a proven ability to lead, manage with good communication skills and positive attitude.

You’ll have experience in in managing sport and recreation activities / programs in a collaborative manner, with the ability to physically demonstrate these attributes.  Ability to work both autonomously and cooperatively within a small team, with the flexibility to adapt to changing priorities with a commitment to continuous improvement to members of  Kalkarindji and Daguragu communities.

Ability to  participate in and train others in outdoor and indoor sporting activities all weather conditions, including both dry and humid heats.

Experience in working in remote locations with ability to Work with community members to promote empowerment and encourage participation in all sport and recreational activities.

About the Opportunity 

Leading the administration team you will be responsible for managing the day to day operations of the administration area in the Regional Office and contribute to the provision of a high standard of administrative support for Council’s Communities and surrounding areas.

Undertaking the Management the Councils Record Management systems and  Coordination and promotion of record management in the communities. Your duties will include (but not limited to); Coordination, development and maintenance of Council’s record management systems. Responsible to monitor and maintain Councils ICT devices, systems including IT asset management register and to Liaise with Council’s Technical Support team with testing, installation and queries and monitor the Councils Telstra, printing and Leasing Accounts. 

About You

The successful candidate will have good interpersonal skills, a friendly disposition and personal integrity with experience in a simular role in the ICT field, a certificate IV in ICT or business administration or equivalent will be highly desired. You’ll have excellent communication skills including professional telephone manner with a proven ability to work as a part of a team, working  co-operatively with Council Executives, staff members and peers in achieving objectives.  Ability to manage ICT hardware procurement and maintenance, management and configuration,

with the flexibility to adapt to changing priorities with a commitment to continuous improvement.

Recruitment Process

  1. Applications are assessed on merit by a selection panel and a short list is created to identify those applicants who warrant further consideration.
  2. At interview the selection panel will ask a series of questions in line with the selection criteria and specific duties of the position.
  3. Nominated referees may be contacted to obtain more information about you.
  4. The preferred applicant will be notified.
  5. Unsuccessful applicants will be notified.

Referee Checks

References provided by you may be contacted during the selection process.  It’s a good idea to get permission from your references before nominating them.

If you are a current employee of the Council and you have been selected for an interview and one of the panel members directly supervises you it is a requirement for you to obtain a referee report from them prior to the interview process starting.

Criminal History Checks

For all vacancies successful applicants will be required to provide a copy of their current (Issued within the last 3 months) criminal history check upon commencement. If the applicant is unable to, a copy of the receipt of submission is required.

Working with Children Clearance - Ochre Card

For some vacancies successful applicants will be required to obtain a working with children clearance upon commencement. If it is an essential requirement of the position you will be unable to commence until a valid clearance has been produced.
